Collect the provider settings
Your email provider gives you an SMTP host, port, encryption mode, username, password or app password, sender email, and sender name. The sender email should normally be permitted by the authenticated SMTP account.
Enter the profile
- Open Dashboard → SMTP servers.
- Click Add provider.
- Give the profile a label such as Gmail outreach or Mailgun production.
- Enter the SMTP host and port. TLS commonly uses port 587; SSL commonly uses port 465, but follow your provider’s documentation.
- Choose the matching encryption option.
- Enter the username and password or app password.
- Enter the From email and From name that recipients should see.
- Save the profile and use its test action before attaching it to a campaign.
Common SMTP failures
- Authentication failed: verify the username, password, and app-password requirement.
- Connection refused or timeout: verify host, port, firewall, and encryption.
- TLS negotiation failure: the encryption setting and port do not match.
- Sender rejected: the provider does not allow the From email or the domain is not verified.
SMTP credentials are encrypted/managed as account configuration. Do not put them in campaign copy, screenshots, support messages, or knowledge-base content.
